Accounting Services Proposal Template

A small business choosing an outside accountant wants to know three things: what gets done each month, when the books will be ready, and what it costs. This template answers each one, with three monthly packages priced by transaction volume, a close timeline, onboarding and cleanup quoted on their own, and the terms of a monthly retainer.

Thank you for the conversation about [Client Name]'s books. This proposal covers where things stand, what we'll do each month, when your numbers will be ready, and three packages to choose from.

Where Your Books Stand

[Summarize the situation, for example: the owner has kept the books in spare evenings, the accounts were last reconciled in March, and the bank wants current financial statements before renewing the line of credit.]

What We'll Do Each Month

  • Record and categorize every transaction, and reconcile each bank, card, and loan account to its statement
  • Close the month, review the numbers for anything unusual, and deliver a profit and loss statement and balance sheet
  • Keep track of payroll and sales tax filing deadlines, prepare the filings you approve, and confirm they went in
  • Answer your questions about the numbers on a regular call
  • At year end, prepare a package with everything your tax preparer needs

Your Monthly Timeline

  • By business day 5: you send any receipts, statements, or answers we've asked for
  • By business day [10]: we close the books and send your financial statements
  • Each month: a call to walk through the numbers, on packages that include one

Monthly packages

Each package is a fixed monthly fee and includes the year-end package for your tax preparer. Volume limits are averages, and we'll talk with you before suggesting a change of package.

Getting Started

Onboarding is a one-time $750: we review your chart of accounts, connect bank and card feeds, set up your monthly close checklist, and agree on how you'll send us documents.

Cleanup comes first if the books aren't current. We'll review them during onboarding and quote any catch-up work separately, at a fixed fee per month behind.

What We Need From You

  • Read-only access to your bank, card, loan, and payroll accounts
  • Receipts and answers to our questions by business day 5
  • One person who can approve filings and payments on time

Terms

Payment. The onboarding fee is due on signing. The monthly fee is invoiced on the 1st of each month, in advance, and due within 10 days. Work outside your package, such as registering in a new state or preparing a loan package, is billed at $150 per hour for staff and $225 per hour for a senior accountant, only with your approval first.

Term. The engagement starts with a three-month term, then continues month to month. Either of us may end it with 30 days' written notice.

What these services are. This is bookkeeping and accounting work, not an audit, review, or compilation. We'll set out exactly what that means in an engagement letter for you to sign.

Acceptance

Frequently asked questions

How do accountants price monthly bookkeeping?

Most use a fixed monthly fee set by transaction volume and the number of bank and card accounts, with extra services such as payroll coordination or advisory added as tiers. Fixed fees are easier for the client to budget than hourly billing for routine work.

What's the difference between a proposal and an engagement letter?

The proposal helps the client choose a package and see the price. The engagement letter that follows sets out the terms both sides sign, including what the services are not, the client's responsibilities, and how either side can end them.

Is this accounting services proposal template free?

Yes. Read and copy the full text on this page, or edit it online and see it as your client will. When it's ready, start a free Clientary trial to send it or download it as a PDF.

Has a lawyer reviewed this template?

No. It's a general starting point written by Clientary, not legal advice, and it hasn't been reviewed by a lawyer for your situation or the laws where you and your client work. Have your own counsel review it before you use or sign it.
