Thank you for meeting with us about your wedding. This proposal covers three ways we can help, what each one includes, how the planning year unfolds, and how payments work.

Your Wedding

A wedding for about 120 guests on [wedding date, for example: June 13, 2027], with the ceremony and reception at [venue, or "a venue we'll find together"].

How Planning Unfolds

For full planning, here's what to expect, month by month:

  • 12 months out: budget, guest list estimate, and venue tours
  • 9 months out: photographer, caterer, band or DJ, and florist booked
  • 6 months out: design concept, invitations, and attire
  • 3 months out: menu tasting, draft timeline, and rentals
  • 1 month out: final walkthrough at the venue, seating chart, and vendor confirmations
  • 1 week out: the final timeline sent to every vendor

We meet monthly, and send a checklist after each meeting so you always know what's next.

Vendors

We recommend vendors we've worked with and trust, review every vendor contract before you sign it, and are the vendors' single point of contact from booking through the last dance. You sign vendor contracts and pay vendors directly, and we don't take commissions from them.

The Rehearsal and the Day

We run the rehearsal, so everyone knows where to stand and when to walk. On the wedding day, we manage the timeline, vendors, setup, and every cue, so you and your families can be guests at your own wedding.

Frequently asked questions

What's the difference between day-of coordination and full planning?

Day-of coordination usually starts four to eight weeks before the wedding, once the couple has booked their vendors, and focuses on the timeline and running the day. Full planning starts near the engagement and covers the budget, venue search, every vendor, design, and the day itself.

Why do wedding planners ask for a retainer?

Booking a date means turning away other couples, so planners take a retainer on signing to reserve it. Most keep the retainer if the wedding is cancelled, and say so in the proposal and contract.

Is this wedding planning proposal template free?

Yes. Read and copy the full text on this page, or edit it online and see it as your client will. When it's ready, start a free Clientary trial to send it or download it as a PDF.

Has a lawyer reviewed this template?

No. It's a general starting point written by Clientary, not legal advice, and it hasn't been reviewed by a lawyer for your situation or the laws where you and your client work. Have your own counsel review it before you use or sign it.
